Recruitment Privacy Notice

This notice explains how YOO Your Other Office Partners ("YOO", "we", "us") collects and uses personal information from people who apply to the YOO Talent Network. It adds to our general Privacy Policy. We process your information in line with the Protection of Personal Information Act, 2013 (POPIA).

What we collect

• Your contact details: name, email address, phone number, city and province.
• Confirmation that you are based in South Africa and have the right to work here.
• Your qualifications, experience, CV, work samples and portfolio links.
• Your disciplines, skills and the software you use.
• Your expected hourly rate, availability and the type of work you want.
• Your skills assessment answers and results.

We do not ask for your ID number, race, age, gender, health information or photo when you apply. If any of these are ever needed, for example for a contract, we will ask only at that stage and explain why.

Why we use it

We use your information only to review your application, assess your skills, and, if you are accepted into the network, contact you about work that matches your skills, rate and availability. We do not sell it or use it for marketing unrelated to the network.

How decisions are made

Our systems help sort applications and mark some assessment questions automatically. A person reviews and confirms every result. Nobody is turned away by an automated system alone.

Who can see it

Only YOO's recruitment team and directors can access applications, each with their own secure login. Your information is stored with Airtable, our database provider, and is not shared with clients unless you are being put forward for specific work and have agreed to it.

How long we keep it

Your application stays active for up to 12 months from the date you apply, so there is no need to apply more than once. After 12 months it is deleted, unless you have been accepted into the network. If you are accepted, we keep your profile while you remain part of the network, and you can ask us to remove it at any time.

Your rights

You can ask to see, correct or delete your information, or withdraw your application, at any time through our contact form (choose "Recruitment or Talent Network"). We respond within 30 days. If you are not satisfied with our response, you can complain to the Information Regulator of South Africa.
